Privacy Policy

The Research Society for Victorian Periodicals (RSVP) exists to foster interdisciplinary scholarship on all aspects of the nineteenth-century press. RSVP is committed to protecting your privacy. In this Privacy Policy we provide information about when and why we collect your personal information and how we use it.

Types of Data We Collect

RSVP collects data in a variety of capacities, depending on your involvement and engagement with the Society’s activities, as outlined below.

Becoming a Member of RSVP

Membership in RSVP is established through your subscription to our journal, Victorian Periodicals Review. Subscription and membership information is collected by Johns Hopkins University Press (JHUP) and is also subject to the JHUP privacy policy.  Information we collect on our members includes:

  • Contact information, such as name, email address, mailing address, and telephone number, if provided to JHUP
  • Professional title and academic affiliation, if provided to JHUP

We use member name and email address information provided by JHUP to contact members with an email bulletin of announcements about RSVP activities. We use a third-party provider, MailChimp, to deliver these emails. We gather statistics about email opening and clicks using industry standard technologies to help us monitor our communication efforts. For more information, please see MailChimp’s privacy policy.

Our Annual Conference

RSVP sponsors an annual research conference. Information we collect on conference applicants and attendees includes:

  • Contact information, such as name, email address, mailing address, and telephone number
  • Professional title and academic affiliation
  • Title and abstract for research paper proposed and/or presented at the conference

Additional personal information may be collected by the host institution during each conference’s registration process. This information would be subject to that institution’s privacy policy and is not shared with RSVP.

Grants, Awards and Fellowships

RSVP sponsors several grants, fellowships, and prizes.  We use a third-party provider, FluidReview, to manage grant, fellowship, and prize application and review processes. For more information, see Fluid Review’s FERPA policy and Cookie policy.   Information we collect on grant, fellowship, and prize applicants includes:

  • Contact information, such as name, email address, mailing address, and telephone number
  • Professional title and academic affiliation
  • Application materials, including cv, narrative proposal, summary of primary, secondary, and archival sources, budget spreadsheet, budget justification, and letters of recommendation
  • Information about the status of the application decision

As part of the grant application and review process, some personal information of recommenders is collected, including:

  • Contact information, such as name, email address, mailing address, and telephone number
  • Professional title and academic affiliation
  • The letter of recommendation

Information we collect on individuals who are awarded a grant, fellowship, or prize includes:

  • Contact information of the awardee, such as name, email address, mailing address, and telephone number
  • Professional title and academic affiliation
  • Contact information for the institutional representative receiving the award funds, if other than the awardee
  • Institutional bank account information for transfers of funds to an institutional representative
  • The amount of money awarded
  • Post-award project and/or budget reports submitted to fulfill grant requirements

Standard Website Visitation

When you visit our website, we automatically collect standard internet log file information, such as your IP address, browser type, referring/exit pages, and date/time stamps. We do this in order to learn the number of visitors to different parts of our site and to improve our communication. This information is processed in a way that does not identify any individuals.

How We Use Your Information

We use your information to support our mission of encouraging scholarship in nineteenth-century periodicals. This includes:

  • Contacting members with information about RSVP activities
  • Contacting conference applicants with information about the status of their application
  • Contacting conference presenters with information about the conference
  • Contacting grant, fellowship, and prize applicants with information about the status of their application
  • Contacting recommenders to confirm receipt of their letter of recommendation on behalf of a grant, fellowship, or prize applicant
  • Contacting grant, fellowship, and prize awardees and/or their institutional representative to facilitate the transfer of funds
  • Listing the names, affiliations, and project descriptions of RSVP grant, fellowship, and prize recipients on our website, in our email bulletin, and in announcements to the VICTORIA email listserv
  • Listing the names, professional affiliations, paper titles, and paper abstracts of conference presenters in the conference program, which is made available on the conference website and in hard copy at the conference.

How We Share Your Information

We share the names of RSVP members with the RSVP conference organizer to establish the fulfillment of the requirement of RSVP membership for conference presenters.

We may share your personal information to comply with applicable laws and regulations, or to respond to a subpoena, search warrant, or other lawful request for information we receive.

How to Access, Change, or Delete Your Personal Information

If you are an EU resident, please note that your information will be transferred outside of Europe, including to the United States. You are entitled to view, amend, or delete the personal information that we hold. Email your request to the RSVP Vice President at vp@rs4vp.org.

Data Security and Retention

We maintain your personal information indefinitely. We take all reasonable precautions to protect your personal information against loss, theft, alteration, or destruction by utilizing appropriate administrative, physical, and technical security measures.

Changes to this Policy

This policy is accurate as of 5/24/2018.  We will review this policy on an annual basis and update it as needed.
